Your family’s information,
handled with care.
What this intake is for
P MODE asks an adult parent or legal guardian, or an athlete aged 18 completing their own intake, about an 8–18-year-old’s goals, current activity, family food routine, recovery, supervision and relevant safety considerations. The purpose is to help an appropriately qualified person review what is needed before a personalized plan is prepared. This is not medical diagnosis or clearance.
What is collected
Your name, contact email, optional phone number, country/region and time zone; the child’s nickname and age; seven days of approximate school, activity, meal, sleep and support routines; the soccer role, experience and goals; the answers you provide; your consent choices; and timestamps and delivery status. Your configured account sign-in supplies an account identifier and email so records can be restricted to your account. We do not request a full birth date, school name, address, height, weight, BMI, medical records or test results.
Where answers go
After guardian and storage consent, drafts are saved in P MODE’s private Supabase database. The production web application is hosted on Vercel; Google account sign-in is managed through Supabase. Intake answers are additionally encrypted by the application. Server checks limit each parent to their own records. Other parents cannot open your intake by changing a link.
Your private coach directory. Submitted intakes, released calendars and check-ins are held in the private application database. The authorized P MODE coach uses that saved record to review your requested service. Other families cannot read the coach directory or another athlete’s records.
Removing an intake from the app does not recall any Google Sheets directory or archive copies made during the earlier pilot, or any separate export. Request separate removal of previously synchronized Sheet copies at pmodesports@gmail.com. Emailed and downloaded copies are also separate, as described below. This pilot does not claim global erasure or completed privacy/legal compliance.
When you explicitly submit and agree to email delivery, the complete intake, including any health-related answers, is sent through Google Apps Script to pmodesports@gmail.com. Google processes the message and stores an email copy in that inbox. Email is not end-to-end encrypted by this app. Only submit information you are comfortable sharing for this purpose.
The Site owner operates the service and can manage its infrastructure. This is not a promise that the Site operator cannot access data. No intake answers are intentionally placed in URLs, analytics, advertising tools or application logs.
Optional AI-assisted draft and calendar
After submitting, you may separately consent to OpenAI processing a minimized set of planning answers. Parent contact details, the child’s nickname, country/region, clinical notes and health-screen answers are excluded. Goals, experience, usual activity schedule, food routines and practical home context can still be personal information. Do not include identifying or clinical details in those free-text answers. Provider response storage is disabled, which alone is not zero data retention. Real child data under 13, or in regions requiring additional age/consent checks, is blocked until P MODE confirms the required privacy and zero-data-retention setup. A health or nutrition review flag pauses AI drafting for a private professional conversation.
The production app does not create fictional test intakes. Previously imported illustrative histories remain labeled as fictional. Generated calendars are drafts for qualified review, not medical clearance. Real plans cannot be treated as approved simply because generation succeeded. Payments and automatic paid enrollment are not active.
Calendar plans, each status choice, comments, save revisions, model and generation-consent timestamps are stored in the private application database. Plan content and tracker values are encrypted by the application and restricted to their parent account. Changes save automatically; wait for the saved indicator. Downloaded HTML copies and CSV reports contain private information and should be kept secure. Downloaded copies save separately in their browser and do not sync to the account.
Coach observations, verification and human release
Both offers use the same intake. For an in-person evaluation, separate consent allows the authorized P MODE coach to add relevant session observations to its context. These are parent-visible and stored encrypted, with an author identifier, revision and timestamp. Your original answers are not overwritten. This release supports the one P MODE service coach. Submitted service intakes are available to that coach for the requested review; unsubmitted drafts remain private. Ordinary family accounts cannot edit prescriptions.
A separate optional consent in the intake can authorize the coach to initiate drafting and auditing after adding session observations. Without that consent, the parent initiates these steps themselves. With audit consent, the draft and minimized planning context are sent to OpenAI for an internal quality review. Software also checks every day and item against the constrained library and checks assigned exercise-video metadata. The AI is not a licensed expert and has not been represented as fine-tuned or professionally certified. Checks are informed by AAP, NSCA and CPS guidance; they are not a validated medical screening or clearance system. Passing them does not prove clinical suitability, playback or safety.
For a real plan, an authorized human reviewer must inspect the full current intake, relevant coach observations and plan, confirm link playback and suitability, and record their actual name, role, credentials and scope attestation before the calendar opens. The app records this attestation; it does not independently verify credentials. AI cannot invent or complete that professional attestation. Safety concerns cannot be overridden by the AI.
Verification and release apply only to the exact intake and coach-note version. Updated observations make earlier checks outdated; plan and tracking history remain attached to the original version. Coach edits create a new draft requiring checks and release; families can log statuses, appetite compared with usual and comments but cannot edit prescriptions. The shared coach view refreshes roughly every five seconds while visible; it is not a promise of instantaneous collaborative editing. A new online month can copy the prior parent answers for fresh review and consent. It does not automatically renew, charge or assume the child’s routine is unchanged.
Saving and operational usage counters
Each calendar check-in and note saves to your account without calling an AI model. Unsynced calendar edits also have a recovery copy in the current browser until the server acknowledges them. This copy can survive a tab reload; it does not provide cross-device saving until synchronization succeeds. The app shows saving errors and conflicts instead of claiming success. Browser storage may be unavailable or cleared. Downloaded copies remain separate snapshots.
The Site records operational AI request metadata: account reference, model, operation, token counts when available, timestamps, and cost estimates or reservations for budget enforcement. The cost ledger contains no intake answers, child nickname or tracker comments. Removing an intake does not rewrite historical spending counters. New AI work can pause at a pilot limit while existing calendars and tracking remain available.
Private meal photos and reminders
A released calendar can optionally hold a meal photo after an explicit upload choice. Use food-only images and avoid faces, school identifiers or documents. The browser resizes the image before upload; the server stores the photo encrypted in private Supabase file storage. The account owner and authorized P MODE coach can view it. Photos are not sent to OpenAI for analysis. A photo alone does not establish ingredients, portions, actual consumption or accurate macros; this pilot does not calculate macro targets from images. Removing an intake also removes its stored meal photos; an emailed or downloaded copy is separate.
Tab reminders are optional device-local preferences. Notifications require browser permission and work only while the page stays open. They do not create events in your Google calendar or provide a background push service.
One P MODE coach and optional player associations
This release supports one P MODE service coach, Armaan Wasti. Submitting an intake requests that service coach’s review. Draft answers remain private until you submit them. An adult invitation may associate your account with a player profile; accepting it does not remove the separate intake consent choices.
Removing an optional player association does not withdraw the P MODE coach’s access to a submitted service intake. To remove that intake and its calendar, use My account. To stop further processing or request removal of separate emailed or previously exported copies, contact pmodesports@gmail.com. This is not a public club roster or a multi-coach marketplace.
Age groups and development observations
A coach may record a player’s current age, season, assigned registration category, squad and development goals. Age categories are organizational labels confirmed by the club, not automatic eligibility or developmental-age decisions. A coach may append dated observations with their name, skill area, activity setup, stage, evidence, next step and optional measured count/time/distance. These records are encrypted and visible to the authorized P MODE coach and that player’s linked adult accounts, independently of an optional intake association. They do not establish age-equivalent talent, medical clearance or validated age norms. Archiving a profile preserves its history and existing family records; it is not deletion or withdrawal of previously granted sharing. Contact P MODE for roster or observation corrections/removal. New observations do not automatically rewrite a plan.
Private coaching reports and video privacy
New youth video uploads are paused in this pilot. The online video-review offer is not accepting new footage. Authorized families may still view or remove any existing clips. Before enabling uploads, P MODE needs a documented consent/capacity process, recording and bystander permissions, retention schedule, processor review and rights-request procedure. Read the Ontario/Canada youth-video explanation and sources.
Coach assessment cards, source notes and family feedback are saved as private, encrypted records in the private application database. Only an authorized P MODE coach and the owning adult account can open that client’s records. Draft feedback saves privately to its author; publishing shares it with the client’s coaching record. Publishing a report does not automatically change an existing plan. The client workbook is a downloadable snapshot that you should store securely.
If private video upload is enabled, the adult account may upload up to ten MP4 or MOV clips per intake, each no longer than ten minutes and no larger than 75 MiB. Upload only footage you are entitled to share and avoid other identifiable children, private locations or unnecessary personal details. Clips are stored in private Supabase object storage, encrypted at rest by the storage provider, and streamed only after account authorization. Video files are not additionally encrypted by the application. Filenames and metadata are encrypted in the database. Clips are for human coach review; automatic video analysis is not active. Removing an intake also removes its associated private clips, subject to completing storage cleanup. Previously downloaded copies cannot be recalled.
Service contact and optional marketing
Submitting an intake requests the specified coaching review. An unfinished intake or health answer is not permission for marketing. A separate optional marketing choice is recorded; no marketing campaign is sent automatically by this app. Coaches should use private service contact for requested review and avoid targeting children or using sensitive answers for advertising.
Your choices
You may leave optional answers blank, choose “not sure” where offered, save a draft and return, or stop. You can remove the intake and its associated calendar and tracker records from the account page. This cannot recall an email that has already been delivered. Removing an intake does not cancel a separate Google appointment; cancel it in your booking page. Your authorized account retains the booking reference so you can manage or cancel that appointment after the intake is removed. For a correction or removal of an emailed copy, contact pmodesports@gmail.com.
Drafts and submitted account records remain until removed by you or the operator. The Gmail copy remains until P MODE removes it. Submission is not enrollment, a payment, or a promise that a training plan is medically suitable. A separate service agreement and operational review are still needed before paid coaching launches.
Consent before athlete questions
New intakes first show an adult-authority and private-storage notice before athlete questions appear. The first acknowledged save records the notice version and server timestamp with the intake. Signing in alone does not authorize collecting child information, emailing the intake, marketing or AI processing. You choose the separate email and optional AI permissions later. Existing saved answers remain private; a new intake asks for consent again.
For your child
Explain that you are sharing a few details so a coach can understand what they enjoy, what their week is like and what support may help. Ask for their input. There is no public athlete profile, comparison leaderboard or direct child account.
